Refund Policy

1. General Policy

A & B Resilient Heart Psychotherapy is committed to providing ethical, professional psychotherapy services. Due to the nature of psychotherapy services and time reserved specifically for each client, all fees are generally non-refundable once services have been rendered.

2. Session Fees

  • Fees are charged for the time reserved, not solely for attendance.

  • Once a session has taken place, no refunds will be issued.

  • Missed or late sessions may be subject to the full session fee.

3. Cancellations and Refund Eligibility

Refunds may be considered only under the following circumstances:

✔️ Eligible for Refund or Credit

  • The session is cancelled at least 24 hours in advance

  • A technical failure on the practitioner’s end prevents the session from taking place

  • A duplicate or erroneous charge occurs

In eligible cases, clients may choose:

  • A refund, or

  • A credit applied toward a future session

❌ Not Eligible for Refund

Refunds will not be issued for:

  • Late cancellations (less than 24 hours’ notice)

  • Missed appointments (no-shows)

  • Client-side technical issues (e.g., internet failure, device issues)

  • Dissatisfaction with therapy outcomes

  • Change of mind after a session has occurred

4. Reduced-Fee, Sliding Scale, and Pro-Bono Services

  • Fees for reduced-rate or pro-bono sessions are non-refundable

  • These services are offered at the practitioner’s discretion and subject to availability

5. Administrative Fees

Fees charged for:

  • Professional letters

  • Reports

  • Forms

  • Documentation

are non-refundable once work has commenced, regardless of outcome.

6. Insurance and Third-Party Payments

  • Clients are responsible for verifying insurance coverage

  • Refunds will not be issued for denied insurance claims

  • Any reimbursement is strictly between the client and their insurer

7. Method of Refund

Approved refunds will be issued:

  • To the original method of payment

  • Within 7–10 business days, depending on the payment provider

8. Exceptional Circumstances

Refund requests due to exceptional or unforeseen circumstances will be reviewed case-by-case at the discretion of the practitioner. Approval is not guaranteed.

9. Policy Updates

This Refund Policy may be updated periodically. Continued use of services constitutes acceptance of the current policy.
